These Terms govern your use of Nayvox AI solutions, including but not limited to the AI Receptionist, chatbots, AI texting campaigns, social media bots, and clinic email campaigns (collectively, the “Services”).

Nayvox provides AI-powered automation solutions specifically for clinics, medspas, and healthcare practices. Our Services include:
AI Receptionist: Handles calls, qualifies leads, books appointments, and follows up with patients 24/7.
Website Chatbot AI: Engages website visitors, captures leads, and guides prospects to schedule appointments.
AI Texting Campaigns: Includes inbound lead handling and patient reactivation campaigns.
Social Media Bots: Automates interactions on Facebook and Instagram.
Clinic Email Campaigns: Sends targeted emails to patients for promotions, new offerings, and retention.
The goal of our Services is to help clinics streamline operations, reduce missed opportunities, enhance patient engagement, and grow revenue efficiently.
Account Setup & Usage
When you subscribe to our Services, your plan includes:
Full system setup and customization for your clinic.
Live demonstration and training so you understand how your AI Receptionist and other AI systems operate.
Ongoing, managed support through our CRM, ensuring your AI systems remain fully optimized, updated, and effective as your clinic grows.
By subscribing, you agree to provide accurate information about your clinic and patients where necessary and to comply with all applicable laws and regulations. The ongoing support subscription is mandatory to maintain proper functionality of your AI systems and to ensure uninterrupted service.
Payment Terms
Payment Terms
Services are offered in tiered setup packages:
Basic Service Package – AI Receptionist setup: $1,497
Advanced Service Package – AI Receptionist + Chatbot : $1,997
Setup fees are due at the time of purchase. In addition to the setup fee, all clients are required to pay a monthly subscription for hosting, CRM access, and ongoing management of their AI systems. This subscription is mandatory to ensure continuous operation, updates, and support of your AI Receptionist and automation tools.
Support & Maintenance
All plans include full setup support to configure your AI systems correctly and ensure a smooth launch.
Following setup, all clients receive ongoing, managed support as part of the monthly subscription. This includes:
Continuous monitoring and optimization of your AI Receptionist and related systems.
Adjustments to workflows and automations as your clinic grows.
Troubleshooting, updates, and guidance to keep patient interactions seamless.
Ongoing support is mandatory and included in the monthly subscription to guarantee uninterrupted functionality and maximum benefit from your AI systems.
Lead Handling & AI Functionality
Our AI systems, including the AI Receptionist, are designed to qualify leads, manage appointments, and handle patient follow-ups.
While AI is highly efficient, no system can guarantee 100% lead conversion. Results depend on clinic responsiveness, data accuracy, and patient engagement.
Clients are responsible for providing accurate patient contact information and complying with healthcare regulations such as HIPAA where applicable.
Client Responsibilities
As a clinic using Nayvox services, you agree to:
Maintain accurate and up-to-date clinic and patient data.
Use AI systems ethically and within legal boundaries.
Not attempt to modify or bypass AI systems without Nayvox approval.
Intellectual Property
Nayvox retains all intellectual property rights to its software, AI systems, and proprietary methods.
Clients are granted a limited, non-exclusive license to use the Services for their clinic operations.
Any marketing materials, email campaigns, or automated content created using Nayvox Services are intended for client use only and cannot be resold or distributed without permission.
Limitations of Liability
Nayvox is not responsible for lost revenue or missed opportunities resulting from AI system limitations, user error, or external factors beyond our control.
Services are provided “as-is” and “as available.” While we strive for optimal performance, Nayvox does not guarantee uninterrupted operation or specific results.
Termination
Clients may terminate service at any time; however, setup fees are non-refundable.
Nayvox reserves the right to terminate accounts that violate Terms, laws, or ethical standards, including misuse of AI systems or patient data.
Privacy & Data Security
Nayvox takes client and patient data seriously. All data is stored securely and used solely to provide Services.
Clients are responsible for compliance with privacy regulations in their region.
Amendments
Nayvox may update these Terms from time to time. Clients will be notified of changes, and continued use of Services constitutes acceptance of updated Terms.
